1. Przedmiot Regulaminu
1.1. Organizatorami Konferencji pod nazwą „Executive Summit” (dalej „Konferencja” i „EXS”) jest firma: HEXAGON NETWORK Sp. z o.o., ul. Klimczaka 1, 02-797 Warszawa (dalej „Organizator”).
1.2. Konferencja – w zakresie rejestracji Uczestników – prowadzona jest za pośrednictwem strony internetowej, znajdującej się pod adresem: www.executivesummit.eu (dalej „Portal”).
1.3. Konferencja odbywa się w oparciu o przepisy niniejszego regulaminu (dalej „Regulamin”).
1.4. Regulamin określa warunki uczestnictwa w Konferencji. Jeżeli warunki uczestnictwa zostaną określone także w innych dokumentach (np. w opisie Konferencji, regulaminie obiektu), Regulamin ten uzupełni dokumenty i znajdzie zastosowanie w zakresie w nich nieuregulowanym. W przypadku gdy określone uczestnictwo w Konferencji oraz usługi z nim związane są odpłatne ww. dokumenty opisują warunki wykonania i rozliczenia wzajemnych świadczeń.
1.5. W razie wątpliwości akceptację Regulaminu wyraża się także poprzez sam udział w Konferencji lub wpłatę wynagrodzenia za uczestnictwo w Konferencji lub usługi z nią związane.
1.6. Uczestnikiem może być wyłącznie osoba pełnoletnia, chyba że Organizator udzieli indywidualnej zgody na uczestnictwo także innym osobom. W przypadku umożliwienia uczestnictwa w Konferencji osobie poniżej 13 roku życia, za przestrzeganie przez nią warunków Regulaminu odpowiada jej prawny opiekun.
2. Rejestracja i uczestnictwo w Konferencji
2.1. Warunkiem uczestnictwa w Konferencji jest rejestracja danej osoby przez formularz zgłoszeniowy Rejestracja wymaga prawidłowego wypełnienia formularza rejestracyjnego (dalej: „Formularz Rejestracyjny”) znajdującego się na Portalu i zatwierdzeniu go zgodnie z funkcjonalnościami Portalu
2.2. Organizator określa w formularzu zgłoszeniowym, zamówieniu lub w inny sposób, wymagania i dane Uczestnika konieczne do rejestracji na Konferencje, nabycia prawa uczestnictwa w Konferencji lub do skorzystania z określonych usług.
2.3. W przypadku dokonywania rejestracji w imieniu innej osoby i wprowadzania cudzych danych, osoba wprowadzająca te dane gwarantuje, iż uzyskała odpowiednie upoważnienia do rejestracji, założenia konta lub złożenia oświadczeń wymaganych do rejestracji, a także odpowiada za wszelkie skutki wprowadzania danych niezgodnie z takim upoważnieniem. W przypadku dokonywania rejestracji dla więcej niż jednej osoby, osoba dokonująca rejestracji powinna dokonać odrębnych zgłoszeń dla każdej z nich (z odrębnym kontem/adresem e-mail dla każdej osoby rejestrowanej na Konferencję).
2.4. Dla niektórych rodzajów uczestników np. dziennikarzy, wystawców, gości, prelegentów lub nabywców usług Strefy VIP/Premium, Organizator może przewidzieć specjalne zasady rejestracji lub dostępu do obiektów, w szczególności polegające na ich rejestracji przez samego Organizatora lub na zastosowaniu dodatkowych identyfikatorów potwierdzających prawo do danych usług.
2.5. Dane Uczestnika zbierane podczas rejestracji oraz w związku z uczestnictwem w Konferencji będą przetwarzane zgodnie z Polityką Prywatności Organizatora, która stanowi integralną cześć niniejszego Regulaminu. Każdy Uczestnik winien zapoznać się z Polityką Prywatności dostępną pod następującym linkiem.
3. Prawa i obowiązki Organizatora i Uczestników
3.1. Organizator zapewnia uczestnikowi dostęp do odpowiednich części obiektu, w których Konferencja ma miejsce oraz odpowiednią do charakteru Konferencji formę uczestnictwa i kontaktu z innymi uczestnikami.
3.2. Ze względu na konieczność zapewnienia bezpieczeństwa, komfortu i możliwości weryfikacji uprawnień Uczestników, Organizator identyfikuje ich np. za pomocą indywidualnych kont w serwisie rejestracji on-line lub imiennych identyfikatorów. Organizator zastrzega sobie prawo kontroli i weryfikacji tożsamości Uczestnika oraz jego uprawnień do wejścia do obiektu lub usług związanych z Konferencją np. w formie żądania okazania identyfikatora. Jeżeli Uczestnik w ramach rejestracji nie podał wszystkich wymaganych danych, odmówi okazania identyfikatora lub powstaną wątpliwości co do zgodności jego danych z danymi na okazanym identyfikatorze, Organizator uprawniony jest do kontroli i weryfikacji tożsamości w inny dostępny sposób np. poprzez wylegitymowanie Uczestnika podczas Konferencji.
3.3. Przebieg Konferencji będzie utrwalany fotograficznie oraz za pomocą urządzeń audio/video, w tym może być transmitowany w radio, telewizji lub za pomocą innych środków umożliwiających publiczne udostępnianie w taki sposób, aby każdy mógł mieć do niego dostęp w miejscu i w czasie przez siebie wybranym (np. w sieci Internet). Uczestnictwo w Konferencji jest jawne, a zatem sylwetka lub wizerunek Uczestnika ujęte indywidualnie lub jako element większej całości mogą być intencjonalnie lub przypadkowo udokumentowane fotograficznie, dźwiękowo lub filmowo, a materiały uzyskane w ten sposób mogą być rozpowszechniane przez Organizatora oraz przedstawicieli prasy w celach informacyjnych i promocyjnych związanych z Konferencją. Niezależnie od powyższego, przebieg Konferencji może być też monitorowany ze względów bezpieczeństwa.
4. Zasady porządkowe
4.1. Uczestnicy mogą poruszać się po terenie obiektów wyłącznie w ramach ogólnodostępnych i tak oznaczonych przestrzeni i ciągów komunikacyjnych, zgodnie z instrukcjami Organizatora i zarządcy obiektu.
4.2. Z zastrzeżeniem szczególnych warunków obowiązujących w wydzielonych częściach obiektów, w których odbywa się Konferencja lub indywidualnej zgody organizatora, na terenie obiektów obowiązuje zakaz: palenia tytoniu,używania papierosów elektronicznych i spożywania alkoholu, blokowania ciągów komunikacyjnych i ewakuacyjnych, używania otwartego ognia i butli gazowych, korzystania z prowizorycznej instalacji elektrycznej, wnoszenia na teren ekspozycji substancji chemicznych, zastawiania dojść i dojazdów do urządzeń przeciwpożarowych oraz przejść ewakuacyjnych. O warunkach i lokalizacji miejsc w jakich może zostać dopuszczone palenie papierosów, spożywanie alkoholu lub inne z ww. zachowań, decyduje wyłącznie Organizator.
4.3. Zakazane jest wnoszenie do obiektów, w których Konferencja ma miejsce: broni, materiałów pirotechnicznych oraz innych materiałów niebezpiecznych, w tym mogących doprowadzić do pożaru, zniszczenia mienia lub naruszenia zdrowia uczestnika lub innych osób. Dotyczy to także urządzeń i materiałów związanych z montażami, adaptacjami lub demontażami, które mogą wiązać się z wykorzystaniem wysokich temperatur lub łatwopalnych chemikaliów. W uzasadnionych przypadkach wniesienie do obiektów ww. urządzeń lub materiałów możliwe będzie za specjalnym zezwoleniem Organizatora i zarządcy obiektu oraz pod warunkiem zapewnienia ich używania przez osoby dysponujące odpowiednimi upoważnieniami i zabezpieczeniem. Poza przypadkami wyraźnie dozwolonymi przez Organizatora, zakazane jest przemieszczanie lub wynoszenie z obiektów lub wyznaczonych przez Organizatora miejsc, jakiegokolwiek wyposażenia obiektów lub wyposażenia związanego z przebiegiem danej Konferencji.
4.4. Organizator nie ponosi odpowiedzialności za zabezpieczenie osób i mienia, a zatem za wypadki osób, kradzieże ani uszkodzenia mienia na terenie obiektów, w których odbywa się Konferencja, chyba że szkody z nimi związane zostały zawinione wyłącznie przez Organizatora lub Organizator zobowiązał się do określonych zabezpieczeń w odrębnym zleceniu.
4.5. Organizator uprawniony jest do nie wpuszczenia na teren obiektu, w którym odbywa się Konferencja lub do usunięcia z obiektu osoby w stanie nietrzeźwym lub pod wpływem innych środków odurzających, osoby, które legitymują się identyfikatorem osoby trzeciej, odmawiają okazania identyfikatora lub innego dokumentu tożsamości, a także każdej osoby, której zachowanie wiąże się z agresją, naruszeniem zasad współżycia społecznego, ryzykiem dla dóbr osobistych, mienia, zdrowia, porządku lub moralności publicznej. W powyższych przypadkach Organizator uprawniony jest do zgłoszenia danego przypadku służbom porządkowym lub organom ścigania. Organizator nie odpowiada za szkody uczestników wynikające z nie wpuszczenia lub usunięcia danej osoby z obiektu, w którym odbywa się Event; nie jest też zobowiązany w takim przypadku do zwrotu wniesionych w związku z takim uczestnictwem opłat.
5. Wystawcy
5.1. Prawo udziału w Konferencji w charakterze wystawcy oraz rezerwację odpowiedniej powierzchni nabywa się na podstawie odpowiedniego zlecenia/zamówienia usług związanych z Konferencją. Wystawcą jest Uczestnik z prawem i obowiązkiem korzystania z określonej powierzchni obiektu lub czasu prelekcji na własne cele informacyjne lub marketingowe.
5.2. O lokalizacji powierzchni wystawienniczej decyduje Organizator. Marki, materiały reklamowe, przedmioty i sposób ich eksponowania w ramach czasu lub powierzchni wystawienniczej wymagają akceptacji Organizatora w zakresie ich zgodności z charakterem Konferencji.
5.3. Wystawca adaptuje powierzchnię w sposób estetyczny i kompletny, odpowiednio do charakteru Konferencji oraz właściwości obiektu.
5.4. Udostępnienie czasu lub powierzchni wystawienniczych innym podmiotom wymaga zgody Organizatora.
5.5. Wystawca zobowiązuje się do wykonania niezbędnych montaży, adaptacji i demontaży w ramach czasowych wyznaczonych przez Organizatora oraz zarządcę obiektów, w których odbywać się będzie Konferencja, nie wykraczających jednak poza okres umówiony w zleceniu usług związanych z Konferencją. W szczególności montaże i adaptacje nie mogą zakłócać przygotowań Organizatora lub innych uczestników i muszą być zakończone przed rozpoczęciem Eventu, a demontaże muszą nastąpić do końca ostatniego dnia danego uczestnictwa w Evencie. W całym okresie umówionym w zleceniu, ekspozycje przeznaczone dla powierzchni wystawienniczych muszą być dostępne dla innych uczestników Eventu zgodnie z przeznaczeniem.
6. Postanowienia końcowe i reklamacje
6.1. Organizator zastrzega sobie prawo do odwołana, skrócenia, zmiany terminu lub harmonogramu/agendy Konferencji w przypadku wystąpienia siły wyższej uniemożliwiającej przeprowadzenie Konferencji lub w przypadku wystąpienia zagrożenia dla życia lub zdrowia uczestników. W powyższych przypadkach Organizator nie odpowiada za szkody uczestników wynikające z odwołania lub zmian terminów Konferencji w tym za koszty związane z transportem lub rezerwacjami hotelowymi; nie jest też zobowiązany w takim przypadku do zwrotu wniesionych już opłat/wynagrodzeń za rezerwacje pakietów, miejsc lub inne świadczenia, w tym w zakresie w jakim pokrywają poniesione już koszty Organizatora.
6.2. Wszelkie reklamacje związane z realizacją praw Uczestników związanych z uczestnictwem w Konferencji mogą być zgłaszane Organizatorowi na piśmie lub za pośrednictwem poczty elektronicznej na adres [email protected], najpóźniej w terminie 3 dni od zakończenia Konferencji, nie później jednak niż 3 dni od wystąpienia okoliczności będącej przyczyną reklamacji.
6.3. Wszelkie zmiany Regulaminu ogłaszane będę w formie w jakich został on udostępniony pierwotnie uczestnikom, w miarę możliwości z 2 – tygodniowym wyprzedzeniem.

1. Subject of the Regulations
1.1. The organizers of the conference called “Executive Summit” (hereinafter referred to as "Konferencja" and "EXS") is the company: HEXAGON NETWORK Sp. z o. o., ul. Klimczaka 1, 02-797 Warszawa (hereinafter referred to as "Organizer").
1.2. Conference — regarding registration of the Participant is conducted via the website located at: www.executivesummit.eu (hereinafter referred to as "Portal").
1.3. The conference is held based on the provisions of these regulations (hereinafter referred to as "Regulations").
1.4. The Regulations define the conditions of participation in the Conference. If the conditions of participation are also specified in other documents (e.g. in the description of the Conference, facility regulations), these Regulations will supplement the documents and will apply to the extent not regulated therein. If specific participation in the Conference and services related to it are subject to payment, the above-mentioned the documents describe the conditions for the performance and settlement of mutual services.
1.5. In case of doubt, acceptance of the Regulations is also expressed by participation in the Conference or payment of remuneration for participation in the Conference or services related to it.
1.6. Only an adult person may be a participant, unless the Organizer grants individual consent to participate also to other persons. If a person under 13 years of age is allowed to participate in the Conference, his or her legal guardian is responsible for compliance with the terms and conditions of the Regulations.
2. Registration and participation in the Conference
2.1. The condition for participation in the Conference is the registration of a given person via the application form. Registration requires the correct completion of the registration form (hereinafter referred to as "Registration Form") available on the Portal and its approval in accordance with the functionalities of the Portal
2.2. The Organizer specifies in the application form, order or otherwise, the requirements and data of the Participant necessary to register for the Conference, acquire the right to participate in the Conference or to use specific services.
2.3. In the event of registration on behalf of another person and entering someone else's data, the person entering the data guarantees that he or she has obtained appropriate authorization to register, create an account or submit the declarations required for registration, and is also responsible for any consequences of entering data contrary to such authorization. If registering for more than one person, the person registering should submit separate applications for each of them (with a separate account/e-mail address for each person registered for the Conference).
2.4. For certain types of participants, e.g. journalists, exhibitors, guests, speakers or purchasers of VIP/Premium Zone services, the Organizer may provide special rules for registration or access to facilities, in particular consisting in their registration by the Organizer itself or the use of additional identifiers confirming the right to given services.
2.5. Participant's data collected during registration and in connection with participation in the Conference will be processed in accordance with the Organizer's Privacy Policy, which constitutes an integral part of these Regulations. Each Participant should read the Privacy Policy available at the following link.
3. Rights and obligations of the Organizer and Participant
3.1. The Organizer provides the participant with access to appropriate parts of the facility where the Conference takes place and a form of participation and contact with other participants appropriate to the nature of the Conference.
3.2. Due to the need to ensure the safety, comfort and possibility of verifying the rights of the Participants, the Organizer identifies them, e.g. using individual accounts on the online registration service or personal identifiers. The Organizer reserves the right to control and verify the Participant's identity and his or her rights to enter the facility or services related to the Conference, e.g. by requesting an ID. If the Participant did not provide all required data during registration, refuses to present the ID or doubts arise as to the compliance of his/her data with the data on the ID presented, the Organizer is entitled to check and verify the identity in another available way, e.g. Conference.
3.3. The course of the Conference will be recorded photographically and using audio/video devices, and may be broadcast on radio, television or other means enabling public disclosure in such a way that everyone can have access to it at any time and place. time pchosen by you (e.g. on the Internet). Participation in the Conference is public, therefore the figure or image of the Participant, individually or as an element of a larger whole, may be intentionally or accidentally documented photographically, soundly or on film, and the materials obtained in this way may be disseminated by the Organizer and press representatives for information purposes. and promotional activities related to the Conference. Notwithstanding the above, the course of the Conference may also be monitored for security reasons.
4. Rules of order
4.1. Participants may move around the facilities only within publicly accessible and marked spaces and communication routes, in accordance with the instructions of the Organizer and the facility manager.
4.2. Subject to specific conditions applicable in separate parts of the facilities where the Conference is held or the individual consent of the organizer, the following are prohibited on the premises: smoking, using electronic cigarettes and drinking alcohol, blocking drafts in communication and evacuation areas, using open fire and gas cylinders, using makeshift electrical installations, bringing chemical substances into the exhibition area, blocking access to fire protection devices and evacuation passages. About the conditions and location of places where smoking, drinking alcohol or other of the above may be allowed. behavior is decided solely by the Organizer.
4.3. It is prohibited to bring into the facilities where the Conference takes place: weapons, pyrotechnic materials and other hazardous materials, including those that may lead to fire, destruction of property or harm to the health of the participant or other persons. This also applies to devices and materials related to assembly, adaptation or disassembly, which may involve the use of high temperatures or flammable chemicals. In justified cases, bringing the above-mentioned items to the facilities. devices or materials will be possible with the special permission of the Organizer and the facility manager and provided that they are used by persons with appropriate authorizations and security. Except for cases expressly permitted by the Organizer, it is prohibited to move or remove any facilities or equipment related to the course of a given Conference from the facilities or places designated by the Organizer.
4.4. The Organizer is not responsible for the protection of persons and property, and therefore for personal accidents, thefts or damage to property on the premises where the Conference is held, unless the damage related to them was the sole fault of the Organizer or the Organizer. has undertaken to provide specific security in a separate order.
4.5. The Organizer is entitled not to admit to the premises where the Conference is held or to remove from the facility a person who is intoxicated or under the influence of other intoxicating substances, or a person who has a third party's ID, refuses to show the ID or another identity document, as well as any person whose behavior is associated with aggression, violation of the principles of social coexistence, risk to personal rights, property, health, order or public morals. In the above cases, the Organizer is entitled to report the case to the security services or law enforcement authorities. The Organizer is not liable for any damage to participants resulting from not admitting or removing a given person from the facility where the Event takes place; nor is he obliged in such a case to refund any fees paid in connection with such participation.
5. Exhibitors
5.1. The right to participate in the Conference as an exhibitor and to reserve the appropriate space is acquired on the basis of an appropriate order/order for services related to the Conference. The Exhibitor is the Participant with the right and obligation to use a specific area of the facility or lecture time for their own information or marketing purposes.
5.2. The Organizer decides on the location of the exhibition space. Brands, advertising materials, objects and the manner of their display within the time or exhibition space require the Organizer's approval in terms of their compliance with the nature of the Conference.
5.3. The Exhibitor adapts the space in an aesthetic and complete manner, appropriate to the nature of the Conference and the properties of the facility.
5.4. Providing exhibition time or space to other entities requires the consent of the Organizer.
5.5. The Exhibitor undertakes tocarrying out the necessary assembly, adaptation and dismantling within the time frame set by the Organizer and the manager of the facilities where the Conference will be held, but not exceeding the period agreed in the order for services related to the Conference. In particular, assembly and adaptations must not disturb the preparations of the Organizer or other participants and must be completed before the start of the Event, and disassembly must take place by the end of the last day of a given participation in the Event. During the entire period agreed in the order, displays intended for exhibition areas must be available to other Event participants in accordance with their intended purpose.
6. Final provisions and complaints
6.1. The Organizer reserves the right to cancel, shorten or change the date or schedule/agenda of the Conference in the event of force majeure making it impossible to hold the Conference or in the event of a threat to the life or health of participants. In the above cases, the Organizer is not liable for damage to participants resulting from cancellation or changes in the dates of the Conference, including costs related to transport or hotel reservations; in such a case, he is not obliged to refund fees/remuneration already paid for reservations of packages, places or other services, including to the extent to which they cover the Organizer's costs already incurred.
6.2. Any complaints related to the exercise of Participants' rights related to participation in the Conference may be reported to the Organizer in writing or via e-mail to [email protected], no later than 3 days from the end of the Conference, but no later than 3 days from the occurrence of the circumstances giving rise to the complaint.
6.3. Any changes to the Regulations will be announced in the form in which they were initially made available to participants, if possible from 2nd; one week in advance.
